Position Summary
As Chief of Staff to the Founder, you will serve as Terrence Murphy’s trusted strategic partner and central point of coordination across all personal, professional, development, and family office activities. You will manage the Founder’s time, health, communications, and high-priority initiatives with discretion, proactivity, and excellence. You will translate vision into flawless execution—optimizing calendars, personal wellness, vendor/banking relationships, bid/invoicing processes, Level 10 meetings, brand/PR/marketing, and communications with the fractional Family Office and wealth managers. You will anticipate needs, solve pain points, create repeatable processes, attend meetings on the Founder’s behalf when needed, and drive efficiency so the Founder can focus on high-impact strategy, speaking engagements, and growth. This role demands exceptional judgment, confidentiality, and the ability to operate at the intersection of personal lifestyle optimization and complex business operations in real estate development, homebuilding, rentals, and portfolio ventures.
Key Responsibilities
Executive & Calendar Optimization
Own the Founder’s full calendar (business + personal): schedule and prioritize all meetings, speaking engagements, travel (domestic/international), events, and commitments using best-in-class tools and triage systems.
Protect high-value focus time while ensuring seamless logistics for all activities.
Attend Level 10 meetings and other key sessions on the Founder’s behalf when required; take comprehensive notes, distill action items, communicate follow-ups, and track completion.
Personal & Lifestyle Management
Coordinate all personal health and wellness schedules: trainers, physical therapy, massage therapy, nutritionist consultations, workouts, and any related appointments or logistics—ensuring 100% adherence and proactive conflict resolution.
Manage personal and office-related items, miscellaneous requests, and ad-hoc tasks with efficiency and discretion.
Support personal ventures and portfolio companies by facilitating communication, scheduling, and follow-through.
Lead and strengthen vendor relationships, banking relationships, and coordination with engineers, architects, design teams, and other partners for new development projects.
Oversee bid processes, invoicing, scheduling, and design coordination for Murphy Signature Homes.
Track project timelines, flag risks, and drive timely execution of deliverables.
Communication, Digital Presence & Brand Management
Manage the Founder’s email inbox, LinkedIn/social media inboxes, and all inbound messages with a defined triage/response pipeline (draft responses, delegate, or escalate as appropriate).
Oversee and optimize terrencemurphy.com and synergysportscapital.com inbound inquiries and miscellaneous requests.
Support brand, PR, and marketing initiatives: draft communications, coordinate with external teams, and ensure consistent messaging across ventures.
Voice the Founder’s communicative strategies to the broader team and ensure alignment.
Strategic Execution, Process Improvement & Family Office Liaison
Identify and eliminate pain points; design and implement scalable processes and systems to increase efficiency in the workplace and personally.
Optimize nutrition, health, business strategy, finance tracking, Level 10 meetings, execution, and effective communication.
Serve as key liaison with the fractional Family Office, new wealth managers, and related advisors—facilitating back-and-forth communication, preparing summaries, and ensuring seamless information flow.
Support strategic projects across all ventures, ensuring alignment with the Founder’s vision.
General
Maintain the highest levels of confidentiality, professionalism, and integrity at all times.
Travel occasionally as needed to support key meetings, site visits, or events.
Perform other duties as assigned to optimize the Founder’s time, health, and impact.
Murphy Signature Homes Operations & Coordination
Lead all bid processes, manage vendors, subcontractors, independent contractors, and construction-related activities for new projects and ongoing developments at Murphy Signature Homes.
Serve as the primary liaison between vendors, subcontractors, independent contractors, and the company to ensure clear communication, timely invoicing, accurate scheduling, design coordination, and issue resolution.
Oversee project timelines, construction bids, vendor performance, and execution for all Murphy Signature Homes initiatives, proactively identifying risks and driving deliverables to completion.
Qualifications & Ideal Candidate Profile
7+ years of progressive experience in a Chief of Staff, senior Executive Assistant, or similar strategic support role—ideally in family offices, real estate development, private equity, multi-venture operations, or UHNW principal support.
Proven track record supporting a high-profile executive or entrepreneur with blended personal/business demands (calendar, health/wellness, developments, vendor management, communications).
Exceptional organizational, project management, and problem-solving skills; ability to juggle multiple priorities in a fast-paced, dynamic environment.
Strong financial and operational acumen (comfortable with banking/vendor coordination, invoicing, bids, and basic project tracking).
Excellent written/verbal communication, emotional intelligence, and discretion.
