Operations Administrative Assistant

Job Overview:

The Operations Administrative Assistant is a full-time, in-office position responsible for supporting company operations with a focus on listing coordination, investor relations, in-office administration, and social media marketing support. This role will work closely with the executive team, investors, and clients to ensure smooth workflows, accurate documentation, and consistent brand representation across platforms.

Tasks:

Listing Coordination

  • Manage end-to-end listing processes including MLS input, property details, and compliance requirements.
  • Coordinate photography, staging, signage, and showing schedules.
  • Track listing timelines and provide updates to agents and clients.

Investor Relations

  • Maintain investor databases & investor on boarding and ensure accuracy of all records.
  • Prepare reports, presentations, and communications for investors.
  • Assist in scheduling and coordinating investor meetings, calls, and follow-ups.

Office Administration

  • Support day-to-day office operations including scheduling, filing, and correspondence.
  • Provide administrative assistance to leadership and team members.
  • Maintain an organized office environment and manage supplies.

Social Media & Marketing Support

  • Assist in content creation, scheduling, and monitoring for social media platforms.
  • Create email campaigns, newsletters, and marketing initiatives.
  • Update and maintain company websites.
  • Ensure consistency of branding across digital and print channels.

General Support

  • Respond promptly to internal and external administrative requests.
  • Maintain a professional, client-service-oriented demeanor in all communications.
  • Continuously seek ways to streamline workflows and support organizational growth.

Education & Experience:

  • Bachelor’s Degree
  • Minimum 2–4 years of administrative experience, preferably in real estate, investments, or related industries.
  • Or an equivalent combination of experience and education

 

Working Environment & Physical Requirements:

This is an in-office position that requires regular sitting, standing, reading, and computer use. Candidate must be comfortable working in a fast-paced, team-oriented environment with multiple ongoing projects.

Job Type: Full-time

Salary: Competitive salary based on experience

Schedule:

  • Monday to Friday, 8:00 AM to 5:00 PM
  • Availability for occasional evening and weekend work for listing related communications

Ability to commute/relocate:
